Booking and cancellation terms
Inclusive pricing:
Each booking is per person and includes accommodation, workshops, all meals, genetic and biomarker testing and selected activities.
Deposit:
To secure your place, a 20% non-refundable deposit is required at booking.
Balance:
The remaining balance is due by February 2025.
Cancellation policy
We understand that plans can shift. While the initial deposit is non-refundable, we offer the following options for cancellations based on timing:
• More than 60 days prior to the Retreat start date: We will refund 100% of the balance (minus the deposit).
• 30 to 59 days prior to the Retreat start date: We will refund 70% of the balance (minus the deposit).
• Less than 30 days before the Retreat start date: Regrettably, we cannot offer a refund at this stage.
Please keep in mind, we are unable to issue refunds or credits for late arrivals, early departures, missed attendance, or cancellations due to unforeseen circumstances such as weather, illness, or personal matters. We strongly encourage you to consider travel insurance to protect your investment should unexpected events arise.
If we need to reschedule or cancel
In the unlikely event that Scientific Wellness Retreats with The Maas Clinic must reschedule or cancel, we will provide the following options:
• Apply any payments made (minus the deposit) toward a future retreat date of your choice.
• Receive a refund of the remaining balance to your original payment method.
• The initial deposit will remain available to use for a future retreat date.
Please note that we cannot cover costs related to travel, preparation, or other expenses incurred in advance of the retreat.
Terms and conditions for The Maas Clinic Scientific Wellness Retreat
1. Purpose and scope
These terms and conditions govern participation in the Scientific Wellness Retreat, held in Dordogne, France from 11.06.25 to 16.06.25. By registering, you agree to abide by these terms and any policies set forth for the benefit of all participants.
2. Health requirements & assumptions
Health assessment:
This retreat involves activities that may include physical and wellness-related exercises. By participating, you confirm that you are in good health and able to engage in such activities. We recommend that participants consult with their healthcare provider if they have any health concerns.
Disclosure of health information:
Participants are asked to inform organisers of any relevant medical conditions that could impact their participation, enabling us to better accommodate individual needs.
3. Behaviour and conduct
Respectful conduct:
Participants are expected to engage respectfully with fellow guests, organisers, and retreat staff. Disruptive or inappropriate behaviour may result in removal from the retreat without refund.
Use of Retreat facilities:
Guests are responsible for treating all facilities, equipment, and accommodations with care. Damages may incur additional charges.
4. Changes and force majeure
Schedule adjustments:
The organisers reserve the right to make necessary adjustments to the retreat schedule, activities, and accommodations. Any significant changes will be communicated promptly.
Force majeure:
The organisers are not liable for cancellations or changes due to unforeseen circumstances (e.g., natural disasters, pandemics, travel restrictions). In such cases, rescheduling or partial refunds may be considered at the organisers’ discretion.
5. Liability disclaimer
Personal responsibility:
While we strive to create a safe and supportive environment, all participants attend at their own risk. The organisers are not liable for any personal injury, loss, or damage to property during the retreat.
Medical disclaimer:
The retreat is educational and wellness-oriented; it is not intended as a substitute for professional medical advice or treatment. Participants should not discontinue or alter prescribed medications or medical treatments based on information provided during the retreat.
6. Photography & media
Consent to photography:
By attending, participants agree to allow organisers to photograph or record sessions for promotional purposes. If you prefer not to be photographed, please inform the organisers prior to or upon arrival.
Use of images:
Images and recordings may be used in promotional materials (e.g., website, social media). No commercial use beyond promotion will be made without further consent.
7. Confidentiality and privacy
Participant confidentiality:
Personal information shared during the retreat is treated confidentially, following our Privacy Policy. We respect the privacy of all guests and will not disclose information without permission.
Non-disclosure:
Any personal discussions, health-related information, or shared insights within the retreat setting are considered confidential among attendees.
8. Acceptance of terms
Post booking we will ask participants to sign an acknowledgment that you have read and understood these terms and conditions, and you agree to comply with them.
9. Excursions and off-site activities
Assumption of risk:
Participants acknowledge that excursions and off-site activities arranged as part of the retreat (e.g., hiking, sightseeing) involve inherent risks. Guests agree to participate at their own risk and assume full responsibility for any injuries or accidents that may occur.
Liability waiver:
The organisers and staff are not liable for injuries, accidents, or damages incurred during these activities. Participants are encouraged to follow all safety instructions provided by guides and to assess their own comfort level and fitness for each activity.
10. Food allergies and sensitivities
Disclosure of allergies and sensitivities:
Participants are required to disclose any known food allergies, sensitivities, or dietary restrictions in advance via the provided checklist. While we strive to accommodate individual dietary needs, we cannot guarantee a completely allergen-free environment.
Assumption of responsibility:
By attending, participants agree to take personal responsibility for managing their allergies or sensitivities and for notifying the organisers if they have any severe, life-threatening food allergies.
Food preferences:
We encourage guests to indicate any food dislikes or preferences on the checklist to enhance their dining experience. While preferences will be noted, they may not always be accommodated in every meal.
11. Modification of terms and conditions
Right to modify:
The organisers reserve the right to modify these terms and conditions at any time. Any updates or changes will be communicated to participants promptly. Continued participation in the Retreat after modifications constitutes acceptance of the revised terms and conditions.
